INTRODUCTIONS
Everyone present introduced themselves with their title in their respective society.
CHRISTMAS PARTY 2009
The Christmas party will again be a joint party hosted by both societies. The party will be held this year on December 11th at Gleneagles Country Club in Plano. The biggest item for discussion is the entertainment. There are three bands in contention to be the entertainment. Previous costs for the band were approximately $2500. Ta found the Brent Rozell Band. They are $1500. The second band is the Walton Stout Band for $2700. The most expensive band is The Pitpops. Their current price is $4500, but Ta thinks he may be able to work them down to $3500. No band had been determined yet as the recruiting process continues.
The budget for the Christmas party was another major topic of discussion. Fundraising for 2009 is widely known for being down compared to previous years. To prepare for a lack of funds to support the party, both societies agreed to install a 20% budget for the Christmas party over last year’s budget. The budget for the 2009 Christmas party is $20,000. Both societies will continue to discuss ways to cut costs for the party. The food and beverage costs along with the room space may be reducible for the 2009 party.
JOINT OCTOBER AND FEBRUARY LUNCHEONS
The geophysical society will be in charge of the October luncheon. The topic will be “Interpretation of Fault Imagery.” The geological society is in charge of the joint February luncheon. The speaker and topic for that luncheon has not yet been determined.
ACCOUNTING FOR 2009 GOLF TOURNAMENT
Matt reported the 2009 DGGS golf tournament income exceeded the expenses by $3770.36.
2010 AAPG SOUTHWEST SECTION AND GOLF TOURNAMENT
Sirman asked the geophysical society if they were agreeable to postponing the annual DGGS Expo for a year since the geological society is sponsoring the AAPG Southwest Section convention in May. In lieu of the Expo, the geophysical society will have a presence at the convention. They will be in charge of arranging their own speakers for the convention. The geological society is in charge of the accounting. They will compensate the geophysical society of a commensurate share that is comparable to the annual Expo.
The idea of a golf tournament to be held in conjunction with the convention was discussed. The desirable dates would be the day before the convention begins or the day after. Since many attendees leave early, the most desirable day to hold a golf tournament is the day before the convention. Having it the same day as the ice breaker may keep many of the attendees at the golf course rather than at the ice breaker event.
WEB ISSUES
Stu reported that the geophysical society website has expanded their payment options from 4 to 10. Sirman updated the geophysical society that the new geological society website should go live by the end of August. In addition, both societies should have a direct link to the other’s website.
OTHER BUSINESS
Ta reported for the Crawfish committee. He informed both societies a donation of $7500 was given to the Scottish Rite Hospital from proceeds of the 2009 Crawfish Boil. The Crawfish Boil for 2010 will be held April 22 at the same location—White Rock Lake.
ADJOURN
Sirman and Naresh adjourned the joint meeting at 6:07 PM.
